Manually Adjust the Count on a Punch Pass Membership
The count on a punch pass membership decreases automatically when members scan in or when you check them in. You can also manually adjust the number of passes by clicking the plus and minus buttons on the membership tile at the top of the member’s profile. Each adjustment triggers a GL posting.
Hide or Show the Delete Icon on Calendar Events
If you need to delete a number of events quickly, it may be more convenient to simply click the (x) icon at the top right corner of calendar events. However, to avoid accidentally deleting events, you can now disable it.
Define Age Ranges in Years and Months
You can control the minimum and maximum ages of attendees more precisely by specifying both years and months. This is especially useful when setting up services and events for young attendees. The same function in your Manage Age Groups settings makes it easier for Book Me to filter prospective attendees when they enroll online.
Use Extensive Search Results to Identify Contacts
Use a search bar to find a person in the shopping cart, attendance list, facility contract, or check-in and the system displays more than just their name. Depending on whether you’re an enterprise or small business client, the results will also show their account names, ID numbers, phone numbers, email addresses, and types. You can sort the results before selecting the one you’re looking for.
Hide, Restore, or Delete Documents
As an administrator you can hide system documents in the recycle bin and restore them again. As for non-system documents, you can hide, restore, and delete them.
Customize the Calendar Display of Staff and Facility Groupings
When your calendar settings include displaying events grouped by Facility or by Staff, you can choose which facilities or which instructors are displayed. You can change the order, delete or add individuals, or reset the display. The system remembers the choices you make for the next time you log in. Each user customizes their own display.
Enroll a Previously Withdrawn Attendee
Add a previously withdrawn attendee back to an event just like adding a new attendee. The waiting list rules apply.
Adjust a Customer's Account with a Credit or a Charge
You can reward a customer by adding credit to their account, or add a charge against damage. Whatever the reason, use the Account Adjustment feature to immediately add either a credit or a charge to the customer’s account without issuing a refund or selling an item. Select a GL account for each adjustment and view the records in the GL Adjustment report.
Enterprise Features
Save, Print, or Email a Calendar of Facility Reservations
Click the Calendar View button on a facility agreement page to display a monthly view of the reservations in that contract. Each entry lists the name, time, and facility. Export a PDF so that you can save, print or email it.
Use a Printed Sheet to Take Attendance
If you know you won’t have access to your computer or handheld device to use the Check-in app, you can print a paper copy of the attendance list ahead of time. Look for the Attendance Sheet report which you can export as a PDF. The sheets provide spaces for you to manually record each person’s attendance.
Ability to Select Liability Account for Payout Credit
Previously, you had the ability to credit a member's Asset GL account. You now have the ability to post a member credit to a Liability GL account in the Xplor Recreation General Ledger. This allows the liability to be cleared manually in your accounting software when the issued check is cleared by the bank.
Create a Facility Schedule Report
You can create a public-facing report displaying a schedule of events by date, facility or service. This report can be used as a door card, informing the public of events that are scheduled to occur in a particular facility on that day or any preferred period of time.
Update Maintenance Report
Create a report for your maintenance crew listing times and events that require setup and/or takedown. The report can be grouped by date, event, facility or service and filtered by criteria such as calendar, service, facility and event type allowing your maintenance staff to more easily schedule their work.
